5 simple steps to fix a bad meeting

If these meetings were value-adding, useful, and enjoyable, it wouldn’t be a problem. Many meetings are a failure and a waste of time. They are one of the biggest time wasters in the office.

Accordingly, it is not surprising that the most famous people deal with how to plan better meetings.

These are the 5 simple steps to fix a bad meeting problem. To grow off to a good start in 2020, you should start holding better meetings.

1. A bad meeting is better than none.

  • You cannot have a lousy meeting if there is no meeting. The worst meetings start with being unnecessary.
  • Is there a simple question discussed quickly? Better plan a meeting! Do you have an announcement that could be easily emailed?
  • Better announce a meeting! Ideally, all participants come together for a meeting to ask themselves what the real reason for the conference is.

2. What do you want to talk about?

If there is nothing to discuss, a meeting is not necessary. Therefore, it should be clear at each session what the topics and the purpose of the conference are. It is what they do:

  • purposeful
  • goal-oriented
  • not habitually
  • conversation-oriented

Make sure there is a plan that sent in advance. So everyone -identifies what the purpose of the meeting is. Also, make sure that you stick to this plan and don’t end up in broad or endless discussions.

3. Technical difficulties are inevitable

  • You could avoid them by taking 10 minutes before the meeting to install the technology and test everything.
  • But why not keep the participants from desperately plugging different cables into your laptop and staring at a black screen bathed in sweat?
  • You would miss how someone from IT comes to your aid, and after 2 seconds, the presentation appears on the projector. That’s the terrible stuff meetings made of!

4. How long should the meeting last?

  • Some meetings are like old chewing gum. It is because of poor time management, which is partly the result of not following the three previous tips.
  • If these shadowed, the chances of such meetings will decrease significantly. But timing is also something that deserves special attention.
  • Decide in advance how long a meeting should last and stick to it. Be careful with time and plan meetings for no more than an hour if possible so as not to lose focus and pace.

5. End the meeting with an action

  • Many meetings are unsuccessful because it is not clear what the consequences will be. People talked for an hour and then left the meeting to do other things. But meetings are usually not organized for the sake of the meeting.
  • Of course, they also have a social role, but most meetings take place to make decisions. After all, you want your employees to act outside of the meeting. Therefore, make sure that every meeting with clear action points ends on a date and name someone responsible for it.
  • The primary responsibility of the meeting organizer is to ensure to follow these tips. However, it is everyone’s responsibility to make this meeting the usual way of working in the organization.
